What You Will Do

Working under the direction of the Facilities Manager, the Receptionist Administrative Clerk performs a variety of clerical duties to assist the operations of BC-CfE.

What You Bring

Education

  • Grade 12 supplemented by an Office Administration Certificate and two (2) years of recent related experience, or an equivalent combination of education, training and experience.
  • Proficiency with MS Office (Word, Excel, Outlook) required.

Your Day to Day:

  • Perform front-desk duties including greeting, assisting and/or directing the general public in a professional and diplomatic manner.
  • Perform receptionist and other clerical duties including answering telephones, responding to inquiries and requests for information, greeting clients/visitors and forwarding problems and complex queries to appropriate personnel.
  • Process incoming and outgoing mail; receive, open and date stamp incoming mail, package, sort and distribute, prepare outgoing mail, sign courier receipts and send/ receive faxes.
  • Provide clerical support by performing tasks such as booking meetings, following up on action items, filing, routing paperwork
  • Assists in the planning, booking and preparation of meetings
  • Maintains employee directories and phone lists
  • Handle public inquiries
  • Facilities and maintenance
  • Act as point of contact for maintenance service providers onsite
  • Respond to facilities issues or maintenance requests from BC-CfE employees under direction from the Facilities Manager.
  • Produces a variety of documents including reports, correspondence, presentation materials, spreadsheets, and memos by using various word processing, spreadsheet and presentation software packages, including creation of files, tables and spreadsheets
  • Assists with developing, drafting, editing, formatting and updating various documents on BC-CfE virtual platforms and website; including policies, manuals and SOP’s.
  • Creates and maintains an efficient filing system
  • Performs other duties as required

Ordering

  • Work with the clinical team to order clinical supplies (primarily through e-Pro)
  • Order office supplies (copy room, staff kitchen, etc.)
  • Order facilities & maintenance supplies

Receiving

  • Act as point of contact with drivers from various vendors, check items received with packing slip
  • Put away supplies received (excluding clinical supplies)

Inventory

  • Take inventory for facilities supplies
  • Perform other duties as required

The Receptionist Administrative Clerk reports to the Manager, Facilities of the BC-CfE or their delegate.

The BC-CfE Laboratory is streamlining reporting processes for certain tests in order to simplify distribution and record-keeping, and to ensure completeness of results. Beginning September 2, 2025, results for the ‘Resistance Analysis of HIV-1 Protease and Reverse Transcriptase’ (Protease-RT) and ‘HIV-1 Integrase Resistance Genotype’ tests will be combined into a single ‘HIV-1 Resistance Genotype Report’.
