SALARY:  $62,239.00 – $85,578.90

LOCATION:  Hope to Health Primary Care Clinic, 625 Powell street, at BC-CfE, Vancouver, BC

JOB:
The Project Coordinator reports directly to the Clinical Operations Director and will work closely with the Clinical Operations Team to plan and implement initiatives and projects and ensures effective methodologies are used in all aspects of project coordination. Functions overseen by the Project Coordinator include the planning, development and implementation of initiatives and other related activities at the BC Centre for Excellence in HIV/AIDS.

ORGANIZATION:
The BC-CfE is a world-renowned HIV/AIDS research centre with an integrated group of research concentrations in Laboratory Sciences, Clinical Trials, Population Health and Epidemiology, Health Economics and Professional Education Programs. A multidisciplinary team of Health Economists, Epidemiologists, Clinical Researchers, Statisticians, Programmers, and Data Analysts work collaboratively within the research concentrations to improve the health of British Columbians with HIV through the development, ongoing monitoring and dissemination of comprehensive research and treatment programs for HIV and related diseases.

JOB RESPONSIBILITIES:

  • Establishes detailed project plans and objectives outlining timelines and deliverables using project management methods to ensure successful implementation of project deliverables.
  • Liaising with key stakeholders to identify and define project requirements, scope and objectives
  • Coordinates and facilitates project events and activities
  • Communicating plans, actions, risks and issues with leadership team
  • Tracks, monitors and reports on project progress using electronic reporting tools and reports on major barriers encountered.
  • Prepares, edits and distributes regular project status reports and related documents to inform leadership of progress.
  • Documenting meeting summaries and action items of meetings
  • Assists in the preparation of abstracts, posters and PowerPoint presentations using project reports and data to support knowledge translation and dissemination.
  • Works collaboratively with all project stakeholders and contributors through effective communication to sustain clinical operations at the BC Centre for Excellence in HIV/AIDS.
  • Attend meetings, events, other activities.   
  • Performs other related duties, as required, related to their role

JOB QUALIFICATIONS:

Education, Training and Experience
A level of education, training and experience equivalent to an undergraduate degree in health sciences, health administration or a related field supplemented by a minimum of two years of related professional experience in health care administration, preferably organizing and coordinating projects;

  • Knowledge of project management principles and practices
  • experience around business process improvement and process documentation will be key
  • Experience in preparing publications, documents, reports (qualitative and quantitative) and communication materials for mass distribution
  • Knowledge and experience in applying process Improvement methodologies (PDSA, LEAN, SIGMA, etc.)

Skills and Abilities

  • Experience coordinating projects to achieve outcome by engaging multiple operational stakeholders with competing priorities
  • Ability to organize priorities according to timelines
  • Demonstrated ability to plan, organize and prioritize work.
  • Strong logistical and administrative skills.
  • Exceptional communication and interpersonal skills, including ability to communicate clearly and effectively in person, over email, and by telephone; and to demonstrate tact, diplomacy and flexibility in various situations.
  •  Ability to adapt to changing priorities and timelines
  • Ability to collate data and develop graphs.
  • Ability to work independently, and cooperatively in a group situation.
  • Strong problem solving, conflict management and team building skills.
  • Demonstrated ability to work in a computerized setting utilizing Microsoft Office Suite, web technology and data processing.
  • Practice facilitation skills is an asset.
  • Excellent attention to detail
