STATUS: Temporary Full-Time, 6-8 month contract

ORGANIZATION:
The BC-CfE is a world-renowned HIV/AIDS research centre with an integrated group of research concentrations in Laboratory Sciences, Clinical Trials, Population Health and Epidemiology, Health Economics and Professional Education Programs. A multidisciplinary team of Health Economists, Epidemiologists, Clinical Researchers, Statisticians, Programmers, and Data Analysts work collaboratively within the research concentrations to improve the health of British Columbians with HIV through the development, ongoing monitoring and dissemination of comprehensive research and treatment programs for HIV and related diseases.

JOB SUMMARY:
The Clerk/Receptionist is responsible for greeting clients and visitors and directing them to the appropriate areas. The Clerk/Receptionist performs a variety of clerical duties in support of BC-CfE Operations.

JOB RESPONSIBILITIES:

  • Performs receptionist and clerical duties including answering telephones, responding to inquiries and requests for information, greeting and directing clients, visitors and maintenance providers, and forwarding problems and complex queries appropriately.
  • Conducts checks of designated Facilities and notes concerns (e.g. maintenance issues, parking violations) and relays information to the Manager, Facilities; responds to facilities issues or maintenance requests from employees.
  • Receives, directs and relays telephone messages, emails and fax messages
  • Processes incoming and outgoing mail, including sorting, date stamping, packaging and distributing; arranges couriers and signs courier receipts; sends/receives faxes
  • Takes inventory of facilities supplies, ordering, receiving, checking orders and stocking office, facilities and maintenance articles. Serves as the point of contact for vendors and drivers. Orders clinical supplies in consultation with Clinical Team.
  • Provides clerical support: booking meetings, following up on action items, filing, routing paperwork, and photocopying.
  • Assists in planning, booking and preparing for meetings, conferences and conference telephone calls.
  • Maintains employee directories and phone lists
  • Maintains records by entering data, collating information; types and distributes correspondence, reports, notices, agendas, notes/minutes of meetings and spreadsheets.
  • Performs other duties as required.

QUALIFICATIONS:

Education, Training and Experience

Grade 12 supplemented by an Office Administration Certificate and two (2) years of recent related experience, or an equivalent combination of education, training and experience. Proficiency with MS Office (Word, Excel, Outlook) required. An equivalent combination of education, training and experience may be considered.

  • Ability to operate related equipment.
  • Physical ability to carry out the duties of the position.
